PAS 2020 Meeting Cancellation FAQ for Exhibitors & Sponsors

Will PAS 2020 be postponed until a later date or rescheduled?
Meetings the size of PAS are planned years in advance and require extensive logistical planning. This includes careful coordination with cities large enough to accommodate thousands of people at once. Given our scale and event requirements, rescheduling is not an option.

How do I get a refund for my exhibit booth or sponsorship?
Please email Carmen Beck or Kelly Schmalfeldt noting that you would like a refund. All refunds will be processed via the same payment method that your original payment was made. We will start the refund process the week of April 13th and will stagger payments through the week of May 11th. For wire payments, please send your banking information. If we do not hear from you by May 10, we will rollover your funds to the 2021 meeting.

How can I roll over my exhibit and/or sponsorship funds to the PAS 2021 Meeting? Please email Carmen Beck or Kelly Schmalfeldt noting that you would like to rollover your funds. Please contact us regarding sponsorships so that we can discuss and create a renewal package that meets your 2021 goals.

When and where will the PAS 2021 exhibit booth selection take place? PAS 2021 exhibit sales will take place at the beginning of May online. Exhibitors will be emailed a date, time, link, and renewal code for their booth selection based on their exhibitor priority points. More information and instructions regarding next year’s sales will be sent via email in April.

How do I cancel my exhibit booth orders in the kit?
Each exhibitor remains responsible for transportation and freight handling charges incurred. Refunds will be processed and issued for all equipment and services which were not provided in accordance with our published terms and conditions. For those who paid for their services by credit cards, refunds will be issued to the card you have placed on file which was originally charged for the service. For those who paid by check, refunds will be issued by check to the contact address listed on your invoice. Refunds will be processed within 6 weeks of the date of event cancellation.

For your convenience, there is no need to cancel any show services in the online service manual. The TL accounting department will handle all cancellations and refunds accordingly. What do I do if I have shipped items for my booth to Advance Warehouse in Philadelphia?
For shipments that may be en-route to the advance warehouse in Philadelphia, please call your freight carrier immediately to either re-route the shipment OR cancel the shipment and return to its originating address. Each exhibitor should instruct their carrier that the advance warehouse has been instructed to NOT ACCEPT freight for PAS 2020 in Philadelphia. If you have selected to use Tradeshow Logistics Transport as your carrier, your shipment will automatically be canceled.

Direct to Show-Site Shipments addressed to PAS 2020/ Philadelphia Convention Center
For shipments that may be en route to the Philadelphia Convention Center, please call your carrier immediately and have them return your shipment to the destination your company chooses if you have shipped your freight to arrive directly to the show site. Philadelphia Convention Center will not accept direct shipments and Tradeshow Logistics will not be on-site to accept any shipments.

Are all symposia, alumni, commercial, and other ancillary events associated with PAS 2020 be canceled as well?
All events, including ancillary programs, are canceled. If needed, any further instructions on canceling orders will be sent to the ancillary event organizers.

How do I cancel my hotel room reservation?
If you booked your hotel reservation using the PAS hotel booking portal, your hotel reservation will be cancelled automatically. If you booked a hotel without using the PAS portal, you will need to contact the hotel directly to cancel.

Will we be refunded for airline tickets?
No, we will not refund individual airline ticket costs. Please contact your airline directly regarding ticket cancellations.
